i sent out a paperback book last week to a member. they received it this evening and are claiming Insufficient Postage. i know i sent the right postage on the envelope because i went up to the counter at the post office and paid for it on the spot. here are the pms.

Member:

Problem: Insufficient Postage

The member to whom you shipped your book 'Treachery in Death (In Death, Bk 32)' has sent you this personal message:

"Since you used a priority mail envelope for the book I had to pay an additional $4.59 to the post office. "


Molly:

i didn't use a priority mail envelope. I used a manila envelope. are you sure you have the right request? I used a regular envelope tan/yellow envelope.

 

I also took it to the post office to mail and they sent it media mail. that's what I paid for. 
the receipt and tracking number for the book I sent you is 9549012430339009224887 and it was marked as media mail.

i checked the tracking info on the usps site and according to the post office the package hasn't been delivered yet. its set to be delivered tomorrow. i haven't heard a response back from the member yet.  the thing is i don't even use priority envelopes. when members send me books using them i throw them away. i used a manilla envelope that you buy at the dollar store. so is there any way to resolve this?

I would just keep communicating with the member for now. They may have marked the wrong book rec'd. I have done that.

If it isn't resolved between you two, i would then communicate with PBS, they can look at your communications & your member number and hopefully resolve the problem. Good luck

It does sound like the requestor confused your book with another order.

regarding those kraft brown envelopes. I buy them at some office supply stores. The stores have their own brand and they are usually pretty cheap. I got a 100 count box at Staples once for $4.95.

If you have a Sam's near you (don't know about Costco) you can get the padded envelopes in the paperback and hardback size very reasonably. Also I get my packing (shipping) tape at Sam's and it's much cheaper than Staples or anywhere else. Pat

The recipient is obviously wrong, save your communications so there's a record of it.

You have resolved it by answering her message. That's what PBS requires, that when you are notified of a problem you provide an answer.

If you had discovered you were at fault somehow then I would have recommended some further action to resolve, but you aren't, so you are done.

There is no need for you to communicate with her any further in my opinion. You can if you want to, but if she remains confused, you can safely say something along the lines of, "thanks for your communications but I have explained what I think happened and I consider this matter resolved."

I agree with Sara. As long as you got the credit for the book, you are good to go.
